> Upon filling in the registration form, you must choose the “register as business” selection.
> At this time you will be asked to select if you are a licensed and bonded producer and wish to become a seller. See the text "If you are a Licensed & Bonded producer, are you planning on selling product(s) on our PRWA site?" and select the YES button. This should then open-up a seller’s version of the Registration form.
> Now complete the basic company name, contact name, address, phone number, etc.
> Next enter your email address and user name. The user name is also your screen name and will be seen by all viewer/buyers. We ask Sellers (you as a producer) to create a user name (screen name) which best describes your producing winery name. The best method is to use your winery name or abbreviate your winery name in order to fit into the user name character limitation of a maximum of 30. You are of course free to use a nickname as a user name since your Store will be named as your Winery and thus will be seen by the viewer.
> Please do click the "Newsletter Subscription" so we can stay in touch.
> Next, “tax registration” is for entering your CA Sellers Permit number. This information is only for our records, though is required to activate your new account. FYI: our system does handle adding the sales tax (based on your Paso Robles, San Luis Obispo county north tax rate) on to all purchases made in CA by non-reseller buyer’s accounts.
> Now for your California ABC license registration number. Please enter all digits of your valid California ABC license registration number. This is the number which was provided to you when you applied for your CA license to produce an alcoholic beverage product in CA. This information is only for our records, though is required to activate your new account.
FYI: in the future we will also be adding a US ATF/TTB Basic Permit field for you to enter for our records.
> Next you should fill-in the PIN security number which appears to the right of the "Registration PIN" text. This number is only used to proceed forward and is not important to remember.
> The "Enter Voucher Code" field currently is not necessary to complete. This code can be used in the future if we chose provide others a method to save the cost of registration.
> Lastly, you will be asked to agree to our registration “Terms of Service
General & Stores Terms and Conditions.” Once you have read and agree with all our terms, please click the “agreed” button and the then the “register” button. Once this is completed, you should receive an e-mail requesting you to confirm/validate your registration and e-mail address. If you do not see this initial e-mail within 10 minutes, you should check your spam filter inbox for this e-mail. Once you have located it, please make whatever changes to your spam filter so this e-mail can be accepted from our server in the future. These e-mails will be your main communication source for all functions on our auction system. Each and every time you list an item, receive a bid on an item or receive a message from a viewer/bidder/buyer, you will receive an e-mail from our auction system.
FYI: For your convenience, a version of our T&C's are pasted in at the end of this document.
Payment portal setup
Our system currently has two methods of payment for which you can arrange to receive your buyers funds; “Paypal” & “Google Checkout.” To the best of our knowledge Paypal allows the buyer to pay using the buyer’s credit card (Visa, MC, AMX, Discover) without being a member of Paypal. To the best of knowledge, a buyer who chooses to use Google Checkout to make payment must have a Google account.
PRWA currently prefers you use a Paypal business account though if you already are using Google Checkout and prefer to setup to receive buyer’s payments using Google we understand. In either case, if you already have an active account with one or both of these payment portals, please log into your new PRWA account online and you’ll see your member’s area, click the “manage account” link in the lower left column of the screen. Enter your PayPal account e-mail address and/or your Google Checkout info in the bottom of this form and click “update.”
If you are not associated with either of these payment portals, the following is how to enter your Paypal info into your new PRWA account screen and to signup for a Paypal business account.
Paypal account setup
Once you have logged-in and you see your member’s area, click the “manage account” link in the lower left column. Enter your PayPal account e-mail address in the bottom of this form and click “update.” This e-mail address may be the same as your company e-mail provided above. Even still, this is important since the only way for you to receive payments from your buyers is to have a payment portal account. As you are probably aware, a basic PayPal business “standard” account can be created and used at no cost, other than a small PayPal fee for each transaction + any fees associated with accepted credit cards via PayPal. These fees are usually not more than you currently pay to accept credit cards though your merchant banker. Funds can be transferred either direction at no cost once you link a business checking account to a PayPal business account. NOTE: since you will be selling alcohol over the Internet and receiving payment via Paypal, you will be required by Paypal to complete a short addendum agreement in order to properly activate your Paypal account.
Store setup
Currently, since you must be renting a Store in order to sell, please wait until other aspects (CA-Tax & CA-ABC licensing confirmation) of your account have been approved before you can proceed. Were sorry, but this may take up to 24 hours.
Now its time to create your Store rental. The initial Store rental we will provide you with is good for 10 listings a month. The cost to you will be $0 if you select the “prelim Store user” Store. If you choose to have more listings per month, you are free to change this setting at any time and pay for the Store rental which best fits your needs.
Assuming you are still on the PRWA web site, look in the left column and find the “My Store”, select “Subscription Setup” and select the “prelim Store user” Store and select the “enable” button.
> Now select the “Main Settings” tab and enter the name of your Store. The Store name can be VERY long and has virtually no limit for its text name.
> Next, scroll down and choose to upload your winery image. This image can only be one jpg file. Make sure you choose an image you wish your Store to be associated with. Please do not use any image which has your winery contact information.
> Next choose the “default” Store design below, a white background, unless you would like one of the crazy preliminary designs our programmers have offered, then select “proceed”.
> Next, select the “Stores Page” tab above. In here you should enter any information you would like into the “About this Store” or “Store Specials” section. You can always come back later to fill these in. Once again - please do not post any contact information for your winery in these text fields. All buyers can contact you thru the internal message system. When this occurs you will receive an email from our system stating that you have received a message.
NOTE: per our “Terms of Service, General & Stores Terms and Conditions”, it is important to enter your specific shipping policies and other company policies (such as returns policy, etc.) into the appropriate sections. All the above information can be seen by all viewers, bidders, and buyers and provides awareness to all bidder/buyers.
> Next, select the “Subscription Setup” again and scroll down to select the “proceed” button. Your store should now be active. FYI: it is normal that you may have to perform the enabling of your new store more than once. This is because some minimum amount of text in required in your "store description" in order for the system be satisfied for enabling a store for this first time.
To see your new Store, select the “Stores” tab in the main blue tabs above. Your Store should be listed in alphabetical order.
Listings
Now it’s time to create your first listing.
To list your item, simply click on the "SELL" Tab link found on the blue header navigational bar.
This tab will not be visible until you are a registered member, approved by our PRWA admin. and have started (or renting) one of our virtual Stores. In order to Sell on our site you must be a licensed and bonded wine/spirits producer.
Before creating your first listing, be sure you have entered your email address which is associated to your Paypal account (your other payment portal account such as Google Checkout) into your member account database. This is done by clicking on the "manage account" link while in your members area tab, found on the left column under the "My Account" section. If you do not currently have an active Paypal business account, you should enter your email address in this field which you plan to use for your Paypal account when you create it.
The listing process is split up into several sections and pages;
- Category selection

The listing process is developed in such a way that you are guided through every step seamlessly.
The first part of the process is to choose the type of auction you wish to use. 3 types are currently available;
1) Full Listing (having all 3 auction types occurring simultaneously; Bidding, Offer & Buy Now).
2) Quick Listing (having the same 3 auction types though no relisting or special appearance features are available)
3) Buy Now Item (having only Buy Now and Offer listing available though you still can choose relisting and appearance features)
Enter your item title and description, a full wysiwyg editor is in place to enable you to use HTML descriptions. It is suggested that you minimize the use of ", ( ) and / symbols unless you are creating the text in an offline html editor.
We also suggest you enter not only your producer (company) name and product name but also the container type (bottle, case, magnum, etc.) in the Title.
We also suggest you start the description with the same single line of text in your title. This way there is no confusion for the viewing party.
>Now choose category you wish to list your item in by pressing the "select" link towards the right side of this category section.
The final selection can be revised at any time by using the "Previous Step" navigation button. Please note; our categories are very specific, thus sub-categories will appear for your selection as you proceed.
>Moving on to Page 2 of the listing form;
Currency:
This site is primarily a US site, so the Currency selection is defaulted to US dollars.
>Quantity:
The quantity of items you are making available in this auction/sale can be completed at this time. The quantity of "1" has been defaulted for most everyday use. If you decide to make a larger quantity available for sale, you must be aware of the following issues;
a) currently, the buyer will only be charged a single shipping (postage) fee as you will select on Page 3. So if the buyer chooses to purchase a larger quantity than what you can afford to ship for the cost you have entered in page 3, then you are given the option to re-invoice your buyer at the close of your auction. We suggest you make a mention of this possibility in your listing description. FYI: We are currently working on a new shipping cost form and calculator system which should deal with these sorts of issues.
b) the buyer may choose to purchase only a portion of what you have made available in this listing. Thus the quantity balance will stay in auction until your auction has ended and or relisted when closed (if selected).
>Auction Starts At:
This requires you to enter the bid amount you are willing to make visible to viewers. Showing a lower amount than you willing to accept for this item is safe....IF you set a reserve price to ensure you do not sell the item for this Start $ amount. Please see below for more information on this.
>Reserve Price:
Enabling a reserve price affectively means you will not sell the item for less than the amount set, for example you can set the start price at $5.00 but only accept winning bids over $50.00, and should a bid be placed for $49.50 the auction item will close without a winner.
>Buy Now:
Buy Now allows you to set an amount you are willing to sell the item for straight out. For example you can set the start price to $10.00 but offer interested parties the option to buy the item immediately for $100.00.
You can also list buy now only auctions, these auctions remove all bidding options meaning the listing can only be purchased for a set amount. To set a "Buy Now" only auction you need to set the Buy Now $ amount to be exactly equal with the Start $ amount.
FYI: in the future a second Buy Now field should be available. It may be called "Buy Now for retailers" This is where you would have the option to enter a discounted Buy Now $ amount which only retailers (restaurants, etc.) will be able to view and access.
>Offer-Range (if you choose to enable):
You can set a price bracket in which you are willing to listing to offer, for example if you set the price brackets from $15.00 to $100.00 interested parties will be able to offer you an amount within these brackets, you can opt whether to accept or decline these offers at any time via the members area. If an offer is placed, you will be notified via email. You may also choose to only enter an amount into the first bracket, thus leaving the Offer-high bracket open for those buyers who want to offer what they wish.
>Bid increment:
This option can be used to set your own custom bid increment if preferred. Currently the bidding is programmed for increments of $.10 though increases as bids are placed by potential buyers.
>Please see the note at the end of this text if you wish to offer a discount to special buyers for all your listings using a voucher code and then provide this code to your special buyers (wine club members, etc.) so they can also use this system to purchase your product.
>Item featuring:
The following options are available to you (fees may apply in the future), these will Feature, Highlight or Bold your item on site to ensure they reach more visitors;
- Category pages featured (also in home page)
- Highlighted background
- Bold text
>Set start/end time:
You can either opt to list your item right away and set a defined number of days, weeks or months for it to be live for or you also have the option to define your own custom start/end time. >>Currently, we suggest that you set all your auctions end durations for the maximum (2 months). This is to provide PRWA with active listings for marketing. Of course in the future as the system is more active, you would then scale this end time back as needed.
>Private Auction:
Private auction will hide the bidder’s identity on the item details page.
>Image upload:
To accompany your item you can either upload an image from your local computer or enter the URL of an image(s) hosted elsewhere. Currently the upload function only accepts JPEG files. Once again, please do not include any of your winery contact information.
>Auto Re-List:
For convenience you can opt to have your items automatically re-listed for you, options are available which allow you to select whether the item should be re-listed if sold and how many re-list attempts should be made.
>>Currently, we suggest you select both of these relist options and set the relist qty to 10. This is to provide active listings for marketing, though you should confirm you plan to have this item available for this extended duration.
>Moving on to Page 3 of the listing form;
Enter your shipping and payment preferences including your shipping rate (postage amount), the shipping insurance amount (if required) and select your preference for shipping/delivery method. Currently only UPS-Ground, FedEx-Ground and GSO (Golden State Overnight) are available for your use. Please let us know if you require more options.
We suggest the following method of disclosing your actual, potential and final shipping costs for this listing and others;
1) since our site is currently focused on sales in CA, we suggest you enter the actual shipping cost required to ship this listing (case, bottle, magnum, etc.) to a location within CA.
2) for sales to outside CA you can set added shipping fees to any location you wish to ship (or allowed to ship) by programming the "postage calc" - "local" function found in your member area tab, in the Selling section on the left column links. Select the "Prefilled fields/Global settings" link and then select the postage calc link in the new horizontal sub menu bar. Once you are there, select the "shipping locations" - "local" button and "add locations" link to add or edit your specific added shipping fees for each shipping location. Be sure to set $0 for CA since you will have already entered a shipping fee for each listing base on shipping within CA. The fee you add into all other shipping locations will be an average "add-on" fee, thus it will be added to purchases to those buyers in these other locations, but they will not be in relation to the actual container type (bottle, case, magnum, etc.) being sold.
FYI: we are currently working on an upgrade which should take into account many of these issues and many others.... so please patient with us as we proceed.
>Enable the Paypal (or other payment portal which you have already setup in your manage account screen) payment button so all buyers payments will be routed to this payment portal account. If you do not see a Paypal option (or other payment portal) in your listing form or those you see are grayed-out (not available), then you need to enter your email address which is associated to your Paypal account (or other payment portal such as Google Checkout) into your member account database. This is done by clicking on the "manage account" link while in your members area tab, found on the left column under the "My Account" section. Were sorry, but once you have done this you will most likely have to re-create this listing from the beginning.
Note: you can still edit your listing once it has been posted live via the member’s area. Though only the description text can be added-to (edited) if your listing is a Full Listing with auction bidding (having Start amount smaller than the Buy Now amount) enabled. Otherwise, if your listing was created to not accept bidding, then everything can be edited until you have received an offer or a Buy Now has occurred.
>Moving on to Page 4 of the listing form;
The final step provides you with listing confirmation.
Read through your listing completely to be sure everything is as you intend.
Scroll to the bottom and choose to;
1) Previous Step: to go back (as many pages as needed) and edit any data entry, uploaded image, etc.
2) List Now: this will list this listing and make it live within seconds after you make this selection.
3) Save as Draft: this will safe the complete listing data, uploaded image, all text, all $ amounts, etc. as a draft. At anytime you can choose to edit or list (make live) any of your drafts. Your drafts can be found while in your member area tab, within your "Selling" section located in the left column (use the "Drafts" link).
Note: if you wish to offer a discount to special buyers for all your listings using a voucher code, please use the "Seller Voucher" link while in member’s area tab, within the Seller section on the left column links once you have logged-in. Selling Vouchers are great for providing either your wine club members, restaurants or wine-bars discounts on your listings. As mentioned above, we are currently working on providing a special Buy Now field for all your listings which can only by viewed only by Retailers (restaurants, etc.). Once this has been completed, the Sell Vouchers function can then be focused for use by any consumer or your wine club members, by providing them with your voucher on our site, your own web site, by direct marketing, etc.

>>Congratulations, you have listed your first item into auction for others to see, bid, offer or buy.
We suggest you initially post 10 listings using a 2 month duration each with “relist” enabled and set the relist qty to at least 3 times (though 10 times would be better for our marketing efforts).
>>We also suggest you choose your Buy Out pricing carefully so you are able to create some sales using our Internet & direct marketing system, even if you feel your net proceeds are less than you would prefer to see. By doing this, over time you will be able to attract much more viewers to your listings.
>>We also suggest you list a bottle for each case you are listing. By pricing this bottle at near case discount, we expect buyers interested in your case(s), who are not familiar with your product(s), will first purchase the bottle as a sample before buying the case. It would be helpful to add a few words to your case listings explaining you have sample bottles available in your adjoining store auctions.

General & Stores Terms and Conditions
This web-site is intended to be a friendly, enjoyable and useful experience, but as with anything concerning any kind of transactions there are risks involved and we strongly advise you to understand all of these terms before joining. If you spot a listing that you feel is violating the general terms and conditions of this web-site as stated below please let us know by contacting us.
Rights To Suspend or Terminate
You agree that this web-site, in its own discretion, may terminate any auction or use of the service immediately and without notice if (a) We believe that you are not abiding by the general rules of this web-site (b) You have repeatedly broken a certain term (c) You have listed a suspicious item (d) We believe you to be a non paying bidder. In most cases when we suspect foul play we will suspend your account/listing whilst we investigate further. If our investigation is conclusive then your account with us will be terminated.
Your Conduct
You are solely responsible for the contents of your actions through this web-site. You must ensure that your participation in the selling or buying of items does not violate any applicable laws or regulations. By this we mean that you must check that you are entitled to sell or buy the relevant item and that you are not prohibited from doing so by any law or regulation.
You must not transmit through the service any unlawful, harassing, libelous, abusive, threatening, harmful, vulgar, obscene or otherwise objectionable material. You must also not transmit any material that encourages conduct that could constitute a criminal offence, give rise to civil liability or otherwise violate any applicable law or regulation.
Membership
Membership to this web-site is only available to those you can form a legally binding contract. This web-site does not permit underage (non-adults) to register and bid-on (purchase) or list (sell) alcoholic beverages. If we find that any member has signed-up with their incorrect age, their account will be terminated immediately.
General Terms
This site acts as the window for sellers to conduct auctions and for bidders to bid on sellers auctions. We are not involved in the actual transaction between buyers and sellers. As a result, we have no control over the quality, safety or legality of the items listed, the truth or accuracy of the listings, the ability of sellers to sell items or the ability of buyers to buy items. We cannot & do not, control whether or not sellers will complete the sale of items they offer or buyers will complete the purchases of items they have bid on. Warning: Even though our sellers are paid members & licensed businesses, there are risks of dealing with foreign nationals, underage persons or people acting under false pretence. After all, this is an online service, so we ask you stay alert and beware.
This Web site shall not be responsible for any items sold by Auction, for any damage to items during transit or during the inspection period, nor for misrepresentations and/or breaches of contract by either buyer and/or seller. This web site shall not be responsible for the cost of procurement of substitute goods or any losses resulting from any goods purchased or obtained.
This web site assumes no liability for the content of the listings. However if you feel you have fallen victim of a transaction-gone-wrong, or of a fraudulent transaction, we will assist you as much as we can, though cannot guarantee you success.
Laws
These Terms of Service shall be governed by and in accordance with the laws of the state of Nevada and United States of America (USA). Any disputes will be decided only by legal person(s) or court within the USA.
Listing to Sell items and Store rentals
In order to sell any merchandise you must be a licensed & bonded wine producer and rent one of our online Stores. Navigate to My Store Subscription Setup on the left column.
Once you have initiated and enabled your Store rental, you will be fully liable to our Sellers Terms & Conditions and to any other government guidelines, licensing or laws in which you or your business resides.
Sellers Terms & Conditions
a) As a seller you have agreed to post your shipping and return policies in your My Store Stores Pages - Shipping Information & Company Policies areas
b) As a seller you must already have or register for a Paypal business account (or other payment portal such as Google Checkout). Currently Paypal and Google Checkout are the only available payment portals our site has provided for your buyer payments. The only credits (or debits) in this payment portal account will be from your buyers (for the item & any shipping/handling fees - or cancelled sales). Paypal business accepts Visa, MC, AMX & Discover Card from all buyers even if they do not maintain a Paypal account. There is no cost for a basic Paypal business account and the fees for accepting credit cards are very similar to your current merchant fees. Your Paypal balance can be transferred to your companies bank account at any time (see www.paypal.com for more details).
c) As a seller you have agreed that you will not sell any items, outside of your PRWA online store, to any buyers which have originated from PRWA. If PRWA becomes aware of this type of sale, PRWA has the right to close your store without refunding your unused stores rental fees and to choose, at a later time, not to engage in future business with your company. We do allow you to provide free sample bottles to retailers at there request and your own offer - though any actual sales to buyers which originate from PRWA must be placed thru our site.
d) As a seller you have agreed not to place any direct contact information (such as phone numbers, address's, web site URL's, links, etc.) in any uploaded images or any text used in your listings or stores pages. If a buyer wishes to contact you they should be using our sites internal messaging system found in each of your listings.
e) PRWA does not guarantee you will sell your merchandise as a seller having rented/opened an online store.
f) As a seller you have agreed to keep your PRWA account balance paid in full every 30 days. Your PRWA account balance will only be debited for your monthly (or yearly) stores rental fee + any settlement fees for all sold items. You will be automatically notified by e-mail when your account requires your payment. Failure to keep your account paid in full may result in PRWA closing your store without refunding your unused stores rental fees and possibly, at a later time, not to engage in future business with your company.
Notes:
1) we reserve the right to change these terms and conditions at anytime. If/when changed, you will be requested to once again agree to them.

You can also list buy now only auctions, these auctions remove all bidding options meaning the listing can only be purchased for a set amount. To set a "Buy Now" only auction you need to set the Buy Now $ amount to be exactly equal with the Start $ amount.
Offer-Range (if you choose to enable):
You can set a price bracket in which you are willing to listing to offer, for example if you set the price brackets from $15.00 to $100.00 interested parties will be able to offer you an amount within these brackets, you can opt whether to accept or decline these offers at any time via the members area. If an offer is placed, you will be notified via email. You may also choose to only enter an amount into the first bracket, thus leaving the Offer-high bracket open for those buyers who want to offer what they wish.
Bid increment:
This option can be used to set your own custom bid increment if preferred. Currently the bidding is programmed for increments of $.10

Item featuring:
The following options are available to you (fees may apply), these will highlight your item on site to ensure they reach more visitors;

>>Highlighted background
>>Bold text
Set start/end time:
You can either opt to list your item right away and set a defined number of days, weeks or months for it to be live for or you also have the option to define your own custom start/end time.
Private Auction:
Private auction will hide the bidders identity on the item details page.
Image upload:
To accompany your item you can either upload an image from your local computer or enter the URL of an image(s) hosted elsewhere. Currently the upload function only accepts JPEG files.
Auto Re-List:
For convenience you can opt to have your items automatically re-listed for you, options are available which allow you to select whether the item should be re-listed if sold and how many re-list attempts should be made.
Moving on to Page 3 of the listing form;
Enter your shipping and payment preferences including your shipping rate (postage amount), the shipping insurance amount (if required) and select your preference for shipping/delivery method. Currently only UPS-Ground, Fed_Ex-Ground and GSO (Golden State Overnight) are available for your use. Please let us know if you require more options.
We suggest the following method of disclosing your actual, potential and final shipping costs for this listing and others;
1) since our site is currently focused on sales in CA, we suggest you enter the actual shipping cost required to ship this listing (case, bottle, magnum, etc.) to a location within CA.
2) for sales to outside CA you can set added shipping fees to any location you wish to ship (or allowed to ship) by programming the "postage calc" - "local" function found in your member area tab, in the Selling section on the left column links. Select the "Prefilled fields/Global settings" link and then select the postage calc link in the new horizontal sub menu bar. Once you are there, select the "shipping locations" - "local" button and "add locations" link to add or edit your specific added shipping fees for each shipping location. Be sure to set $0 for CA since you will have already entered a shipping fee for each listing base on shipping within CA. The fee you add into all other shipping locations will be an average "add-on" fee, thus it will be added to purchases to those buyers in these other locations, but they will not be in realation to the actual container type (bottle, case, magnum, etc.) being sold.
3) we are currently working on an upgrade which should take into account many of these issues and many others.... so please patient with us as we proceed.
Enable the Paypal payment button so all buyers will be routed to your paypal account (for payment)as entered in your member account. If you do not see a Paypal option in your listing form or the one you see is grey'ed-out (not available), then you need to enter your email address which is associated to your Paypal account into your member account database. This is done by clicking on the "manage account" link while in your members area tab, found on the left column under the "My Account" section. Were sorry, but once you have done this you will most likely have to re-creat this listing from the beginning.
Note: you can still edit your listing once it has been posted live via the members area. Though only the description text can be added-to (edited) if your listing is a Full Listing with auction bidding (having Start amount smaller than the Buy Now amount). Otherwise, if your listing was created to not accept bidding, then everything can be edited until you have recieved an offer or a Buy Now has occurred.
Moving on to Page 4 of the listing form;
The final step provides you with listing confirmation.
Read through your listing completely to be sure everthing is as you intend.
Scroll to the bottom and choose to;
1) Previous Step: to go back and edit any data entry or uploaded image
2) List Now: this will list this listing and make it live within seconds after you make this selection.
3) Save as Draft: this will safe the complete listing data, uploaded image, all text, all $ amounts, etc. as a draft. At anytime you can choose to edit or list (make live) any of your drafts. Your drafts can be found while in your member area tab, within your "Selling" section located in the left column (use the "Drafts" link).
Note: if you wish to offer a discount to special buyers for all your listings using a voucher code, please use the "Seller Voucher" link while in members area tab, within the Seller section on the left column links once you have logged-in. Selling Vouchers are great for providing either your wine club members, restuarants or wine-bars discounts on your listings.
